The Institute of Chartered Accountants of India (ICAI) has officially introduced the Digital Practical Training Diary (e-Diary), making it mandatory for all CA students commencing their practical training (articleship) or industrial training on or after January 1, 2026.
What the new E-Diary requirement means
• Mandatory from 1 Jan 2026: CA trainees starting articleship from this date must use the ICAI’s digital E-Diary platform for practical training records.
• Digital records: Instead of manual diaries, trainees will enter attendance, daily tasks performed, stipend details, leave, etc. in the E-Diary.
• Fortnightly submissions: Entries are submitted every 15 days and are subject to verification by the supervising principal CA.
• SSP integration: The system is accessed through the ICAI Self-Service Portal (SSP) using existing login credentials.
Why ICAI introduced the E-Diary
• Uniform training standards: It helps standardize practical training documentation across firms and practices.
• Transparency and monitoring: Principals and ICAI can digitally track attendance, tasks, and stipends.
• Skill mapping: Trainees get a structured record that can show exposure across different areas like audit, taxation, consultancy, etc.
Who it applies to
It applies to all CA students commencing their practical training (articleship) from January 1, 2026 forward. Students who began training before this date typically aren’t required to use the E-Diary unless ICAI issues further instructions.
Key Features & Process
• Mandatory Scope: Applies to all fresh articleship registrations starting from January 2026. It currently does not apply to trainees who started before this date.
• Real-Time Logging: Trainees must record daily attendance, specific tasks performed, and leaves through the ICAI Self-Service Portal (SSP) using their existing credentials.
• Fortnightly Submissions: Tasks must be submitted for review every 15 days. The system automatically checks for completeness before allowing submission.
• Approval Timeline: Once submitted, the Principal has 7 days to review or suggest changes. If changes are suggested, the trainee must resubmit within 7 days. If the Principal takes no action within their allotted 7 days, the entry is “deemed approved” by the system.
• Stipend Tracking: Trainees must record stipend details (amount, mode of payment, and date) during the first fortnight of the following month to ensure transparent digital compliance.
Integration & Benefits
• Seamless Completion: The e-Diary is integrated with Form 109 for articleship termination or completion, ensuring that recorded data matches final administrative filings.
• Skill Mapping: The platform categorizes work (e.g., Audit, Taxation, Consultancy) to help both trainees and Principals identify learning gaps and professional strengths.
• Reduced Paperwork: This digital shift eliminates the need for manual diaries, providing real-time visibility into trainee progress and reducing administrative friction for firms.
Benefits to CA Students:
Professional Development & Skill Mapping
• Skill Gap Identification: Trainees can regularly review recorded tasks to identify areas of expertise (e.g., auditing, taxation, or consultancy) and pinpoint learning gaps that require more focus.
• Uniform Training Quality: The digital format ensures a standardized training experience across different firms, promoting consistent learning outcomes for all students.
• Enhanced Awareness: Continuous reflection on daily tasks helps students better understand practical competencies and aligns their progress with ICAI’s competency framework.
• Strategic Task Allocation: By tracking hours spent in various domains, principals can assign work more effectively or consider secondments in new practice areas to broaden a trainee’s exposure.
Administrative & Operational Efficiency
• Elimination of Paperwork: The system replaces traditional manual diaries with a digital log, simplifying daily attendance, leave tracking, and stipend proofing.
• Seamless Form Integration: The e-Diary is directly linked to the ICAI Self-Service Portal (SSP) and integrates with Form 109, ensuring automated and accurate documentation for articleship termination or completion.
• Transparency & Dispute Resolution: Real-time recording of attendance and stipend payments (stipend details must be entered in the first fortnight of the following month) reduces potential conflicts between trainees and principals.
• Timely Approvals: A “deemed approved” mechanism ensures that if a Principal does not act on a submission within 7 days, it is automatically approved, preventing administrative delays for the student.
Compliance & Monitoring
• Real-Time Status Tracking: Students can monitor the approval status of their submissions and edit or delete entries before final submission.
• Authenticated Records: Every entry is time-stamped, creating a verified digital record of practical experience that serves as an official reference for articleship completion.

Benefits to CA Principals:
Enhanced Supervision & Mentoring
• Real-Time Visibility: Principals gain immediate access to trainee attendance, profiles, and the specific nature of tasks assigned or performed.
• Structured Mentoring: With structured data on a trainee’s daily activities, Principals can provide more effective guidance and structured supervision throughout the training period.
• Strategic Task Allocation: By reviewing the hours a trainee spends in different domains (e.g., auditing, taxation, consultancy), Principals can assess areas of expertise and allocate assignments more effectively to meet time-bound requirements.
Quality Assurance & Performance Tracking
• Data-Driven Insights: The system generates insights that help Principals identify specific training gaps and monitor the performance of both individual trainees and entire batches.
• Balanced Exposure: Principals can use the e-Diary to ensure trainees receive well-rounded professional exposure, potentially considering secondments in new areas if the data shows a lack of diversity in their experience.
• Standardized Training: The platform ensures that training outcomes align with ICAI’s competency framework and prescribed professional standards.
Administrative Efficiency
• Reduced Manual Workload: The digital system replaces traditional paper-based diaries, significantly reducing the administrative burden of manual record-keeping and physical diary maintenance.
• Automated Compliance: Principals benefit from Management Information System (MIS) reports, system alerts, and automated digital approvals that streamline regulatory compliance.
• Conflict Resolution: Digitally recorded and authenticated records for stipend payments and attendance help minimize disputes and provide clear documentation for official ICAI reviews.
• Simplified Completion Processes: Because the e-Diary integrates with official ICAI forms (like Form 109), final training completion or termination formalities are more accurate and easier to process.
